Refund & Cancellation Policy

This Policy describes how cancellations, rescheduling, no-shows, and refunds are handled for coaching sessions with Full Lotus Coaching.

Discovery calls

Discovery calls are offered free of charge. There is no fee for canceling or rescheduling a discovery call. Out of respect for everyone's time, please cancel or reschedule through the Practice Better booking link as far in advance as possible if you cannot keep the appointment.

Cancellation and rescheduling of coaching sessions

[Richard's call] I drafted this with a 24-hour cancellation window, which is the most common standard in coaching and wellness practices. If you'd prefer 48 hours, or a more flexible "first-time exception" approach, just say so and I'll adjust.

Coaching sessions may be canceled or rescheduled with at least twenty-four (24) hours' advance notice at no charge. Cancellations or rescheduling requests should be submitted through the Practice Better client portal or by emailing [contact email].

Cancellations or rescheduling requests made with less than 24 hours' notice will be charged at the full session rate. The session may, at the practitioner's discretion, be applied as a credit toward a future session if the circumstances warrant — for example, in the case of a genuine emergency.

No-shows

If a client does not attend a scheduled session and has not provided notice of cancellation, the session will be considered a "no-show" and will be charged at the full session rate. Repeated no-shows may result in the practitioner declining to schedule further sessions.

Late arrivals

Sessions begin and end at their scheduled times. If a client arrives late, the session will still end at its scheduled end time, and the full session rate applies. The practitioner may, at their discretion, extend a session if their schedule allows.

Refunds

Refund eligibility is determined as follows:

  • Discovery calls: No fee, no refund applicable.

  • Single coaching sessions: Refunds are not typically issued for completed sessions. If you are dissatisfied with a session, please raise it directly with Richard so the concern can be addressed; partial or full refunds may be considered on a case-by-case basis.

  • Prepaid session packages (if offered): Unused sessions in a prepaid package may be refunded on a prorated basis if requested in writing within thirty (30) days of purchase. After thirty days, refunds are at the practitioner's discretion. Used sessions are non-refundable.

  • Sliding-scale and trade arrangements: Are non-refundable, but may be re-negotiated as circumstances change.

Sliding-scale, donation-informed, and trade arrangements

Special pricing arrangements (sliding-scale, donation-informed, or trade) are negotiated individually with each client and documented in the Coaching Agreement. The cancellation and rescheduling policies above apply equally to all clients regardless of pricing arrangement.

Practitioner cancellations

In the rare circumstance that the practitioner needs to cancel or reschedule a session, the client will be notified as soon as possible and offered a rescheduled time at no charge. If a rescheduled time cannot be agreed upon, the session will be refunded in full.

Emergencies and special circumstances

Life happens. If genuine emergencies — illness, family emergencies, urgent unexpected circumstances — prevent a client from giving 24 hours' notice, please reach out as soon as possible. Such situations are handled with care and discretion, and the late-cancellation fee may be waived at the practitioner's discretion.

Payment processing

Payments are processed through the Practice Better platform via its integrated payment processor. Refunds, when issued, are returned through the original method of payment and may take 5–10 business days to appear on your statement, depending on your financial institution.

Changes to this policy

This Policy may be updated from time to time. The "Effective date" at the top reflects the most recent revision. Active clients will be notified of any material changes.
