Full Lotus Coaching is a virtual transformational and business coaching practice owned and operated by Richard Matusow, based in Portland, Oregon, USA. The practice offers one-to-one coaching services delivered virtually, and uses third-party platforms — including Squarespace (website hosting), Practice Better (client portal, scheduling, intake forms, secure messaging, and payment), and standard email and analytics services — to deliver and administer those services.

When you submit a contact form, schedule a discovery call, sign up for the newsletter (if applicable), or become a client, you may share information including your name, pronouns, email address, phone number, mailing address (if provided), emergency contact (for active clients), what brings you to coaching, and any other information you choose to share in forms, intake documents, or correspondence.

Information we receive through Practice Better (clients only). Once you become a client, additional information is collected and stored within the Practice Better platform, including but not limited to: scheduling history, session notes, payment records, signed agreements, intake form responses, secure messages exchanged through the portal, and any documents or resources shared between us. Practice Better is a HIPAA-aligned platform with its own privacy and security standards; its use is governed by both this Policy and Practice Better's own privacy practices.

Information collected automatically. When you visit this website, certain information is collected automatically through standard web technologies, including IP address, browser type, device type, operating system, referring URL, pages visited, time spent on each page, and general geographic location (country/region level). This information is collected through Squarespace's built-in analytics and any additional analytics services in use, and is used to understand how visitors interact with the site and improve site performance.

Full Lotus Coaching takes the security of your information seriously and uses reasonable administrative, technical, and physical safeguards to protect it. Practice Better is HIPAA-aligned and uses encryption in transit and at rest. Squarespace provides standard SSL/TLS encryption for the website. Sensitive communications about clinical, financial, or legal matters should be conducted through the secure Practice Better portal rather than standard email whenever possible.

No method of transmission or storage is 100% secure, and no system can guarantee absolute security. However, the practice uses commercially reasonable measures consistent with industry standards.

How long we keep your information

Client records, including session notes, signed agreements, and financial records, are retained for as long as necessary to provide services and for a period afterward consistent with Oregon state law, IRS recordkeeping requirements, and best practices for coaching and wellness practices — typically a minimum of seven (7) years from the close of the engagement. Inactive inquiry records (people who reached out but did not become clients) are retained for a shorter period and may be deleted upon request.

Your rights

You have the right to:

  • Access the personal information held about you

  • Correct inaccurate or incomplete information

  • Request deletion of your personal information, subject to legal and ethical recordkeeping obligations

  • Withdraw consent to certain processing (such as marketing communications)
